What Changed in Version 2.0
Flowlog 2.0 adds Moneylog, a full personal finance ledger, alongside the existing worklog module. This version of the Terms:
- Rewrites the service description to cover both modules, including accounts, transactions, budgets, savings goals, plans, instalments, reminders and widgets
- Replaces the free and premium feature lists, which no longer matched the App
- Adds terms for reminders and push notifications, home screen widgets, data import and reconciliation
- Adds explicit disclaimers for the calculated figures the App now shows — forecasts, safe-to-spend, instalment schedules, interest and payoff estimates
- States the grandfathering rule: if a limit changes, records you already created are never deleted
1. Agreement to Terms
By accessing or using the Flowlog mobile application ("App", "Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these Terms, you do not have permission to access the Service.
The Service is provided by Flowlog, a business registered in Australia, located at 8 Leydin Court, Darwin City, Northern Territory, Australia.
2. Service Description
Flowlog is a personal bookkeeping and work time tracking application. It consists of two modules that share one account, and you may use either, both, or neither.
2.1 Moneylog — bookkeeping
- Recording: 13 transaction types — income, expense, transfer, lending, borrowing, repayment, collection, refund, reimbursement, split bill, reversal, and system-generated balance initialisation and adjustment entries — with a dedicated numeric keypad supporting arithmetic; expenses where the bank first holds an amount and charges the real one later (petrol, hotel deposits, car hire) can be marked as pre-authorised and confirmed once the final amount is known, updating both the transaction and your account balance
- Classification: preset and custom categories with sub-categories, plus members, counterparties and tags
- Attachments: receipt photos, compressed on device before upload
- Suggestions: category, account, member and note suggestions computed on your device from your own history, always editable
- Accounts: ten account types — bank, cash, credit card, debit card, e-wallet, prepaid card, virtual, investment, buy-now-pay-later and debt — with transaction, savings and debit card sub-accounts, credit card supplementary cards, and balances kept per currency across 40 currencies
- Credit cards and BNPL: statement day and repayment day countdowns, statement-based and per-order BNPL providers, and instalment plans for purchases, statements, repayments and BNPL orders
- Debts: amounts owed to you and by you, with repayment and collection schedules
- Debt payoff: bring every debt together and project a debt-free date and total interest using snowball, avalanche or your own order; balances already on an instalment plan are counted at their locked fee rather than charged interest again
- Budgets: an overall budget and category budgets, aligned to your pay cycle, optionally limited to selected accounts, with rollover and overspend offset
- Savings goals: multi-currency goals, deposits and withdrawals, savings challenge templates, and progress insights
- Plans: upcoming payables and receivables derived from your own records, one-off planned items, recurring rules, a bill calendar and a cash flow forecast with a safe-to-spend figure; a recurring bill can be split between people, with each person's share recorded as a receivable every period, into the account and currency you choose for them
- Analytics: income and expense overview, category breakdowns, trends, drill-downs and insight cards
- Transfer fees: charged on top of the amount or taken out of it, with the arriving amount worked out for you, including across currencies
- Quick entries: saved shortcuts for transactions you record often
2.2 Worklog — work time and income
- Employments: multiple employment relationships, multiple roles per employment, employment type (PAYG / ABN / other), pay cycles and calculation methods, default deductions, and work sites with a default site
- Worklogs: fixed hours, by minute, by second, by day and by piece; clock-in and clock-out; deductions for breaks and leave; weekday, weekend, holiday and night rates; expected earnings; batch creation; and a statement-style image export
- Payouts: gross and net amounts, tax withheld, superannuation, GST for ABN contractors, payment breakdowns, payslip photos, partial payments and linked worklogs
- Analytics: switchable perspectives across company, role, site and rate type, with drill-down and insight cards
2.3 Across the App
- Reminders: eleven categories — credit card statement and repayment days, BNPL statement, repayment and per-order instalments, debt repayment and collection, planned items, budget alerts, budget period totals and savings milestones — each with its own switch and lead time, delivered in your own time zone
- Notification centre for reminders and our announcements
- Widgets: three home screen sizes and three lock screen styles, plus home screen quick actions
- Net worth: automatic totals across your accounts, with per-account control over whether an account counts towards assets or liabilities
- Preferences: base currency, default payment and income accounts, default module and landing page, and in-app language switching between English, Simplified Chinese and Traditional Chinese
- Data export: 13 categories across 31 tables, as a single Excel workbook
- Data import: bring transactions in from other bookkeeping apps (or any spreadsheet via our template), with field mapping, preview and duplicate detection, and re-import of your own Flowlog export
- Reconciliation: compare an account against the balance shown by your financial institution, review the transactions behind a difference, and record an adjustment entry for the remainder; a reconciliation can be undone (both the balance and the adjustment entry are rolled back), and you can choose by account type which accounts remind you to reconcile
- Security: single-device login and optional Face ID / Touch ID
2.4 Authentication
- OAuth login (Google Sign-In) — not available in Mainland China
- OAuth login (Apple Sign-In) — available globally including Mainland China
- Email and password login with email verification and password reset
- Single-device login: signing in on a new device signs the previous one out

3.3 Premium
Premium removes the numeric limits in section 3.1 — accounts, categories, members, counterparties, tags, quick entries, budgets, savings goals, recurring rules, employments, roles, templates, worklogs and payouts all become unlimited — and additionally unlocks:

- Data export as an Excel workbook

- All future premium features
Feature availability may change as the App develops; the current list is always shown on the Premium page inside the App, which prevails over this summary.
3.4 If limits change
We may adjust free plan limits with 30 days' notice. Records you have already created are never deleted because a limit changed. If you end up over a limit — because the limit was lowered, or because your Premium subscription ended — you keep full read, edit, export and delete access to everything you have; you are only prevented from creating new items of that kind until you are back within the limit or subscribe again.
4. Subscription and Payment
Subscription plans
- Monthly: AUD 5.99 (or equivalent in local currency)
- Annual: AUD 59.99 (or equivalent in local currency)
- All payments are processed through Apple's App Store in-app purchase system
Free trial
- New accounts receive a 14-day free trial with full premium features
- A payment method is required to start the trial (an Apple App Store requirement)
- Cancel any time before the trial ends to avoid charges
- After the trial, the subscription begins automatically unless cancelled
Subscription management
- Subscriptions auto-renew unless cancelled
- Cancel through your Apple App Store subscription settings
- Cancellation takes effect at the end of the current billing period
- After cancellation the account returns to the free plan, subject to section 3.4
- You may re-subscribe at any time
Refund policy
- Refunds are handled entirely by Apple under their App Store policies
- We do not control or process refunds directly
- To request one: go to reportaproblem.apple.com, sign in with your Apple ID, find the Flowlog subscription, and select "Report a Problem"
- Apple's decision is final. We cannot issue refunds directly, but we can provide supporting documentation
Nothing in this section limits any non-excludable right you have under the Australian Consumer Law or an equivalent law in your jurisdiction.
5. User Responsibilities and Acceptable Use
Data accuracy
- You are solely responsible for the accuracy of everything you enter
- The App records, calculates and displays the information you provide; it has no connection to your bank and never fetches data from a financial institution on your behalf
- Verify all calculations before making a financial decision
- Reconcile against your actual statements regularly — the App's reconciliation feature assists with this but does not replace your statements
Acceptable use
You may use the Service for:
- Recording your own income, spending, accounts and work hours
- Individual or sole trader use
- Tracking multiple employers and income sources
- Personal financial management
- Assistance in preparing your own tax return
You may not use the Service for:
- Managing another person's finances or work records under your account
- Reselling or sublicensing the Service
- Running payroll for employees of a business
- Any illegal financial activity, including money laundering or fraud
Prohibited activities
You agree not to:
- Use the Service for any illegal purpose
- Attempt to hack, crack or bypass App security, or obtain premium features without paying
- Exploit frontend or backend vulnerabilities
- Disrupt or damage the Service or its servers, including by automated or excessive requests
- Share, sell or transfer your account
- Use automated systems to extract data from the Service
- Impersonate others or provide false information
- Upload malicious code, or content you do not have the right to upload
- Reverse engineer the App or its services
6. Intellectual Property Rights
Our rights
- All content, features and functionality of the App are owned by Flowlog
- The Service is protected by copyright, trademark and other intellectual property laws
- Our trademarks and trade dress may not be used without prior written permission
- The Flowlog name, logo and related designs are our exclusive property
Your content
- You retain ownership of all data you enter
- By uploading photos or importing files, you grant us a limited, non-exclusive licence to store, process and display that content solely in order to provide the Service to you. This licence ends when you delete the content or your account
- You are responsible for having the right to upload anything you upload
- We may remove content that violates these Terms
Third-party services
- Exchange rate data remains with its providers: fawazahmed0 (fiat) and CoinGecko (cryptocurrency)
- OAuth providers (Google, Apple) retain their respective rights
- Third-party terms apply to their respective services
7. Privacy and Data Protection
Your use of the Service is also governed by our Privacy Policy. By using the Service, you consent to the collection, use and disclosure of personal information described there.
Data storage
- Data is stored in PostgreSQL databases on servers in Australia; uploaded files are stored in our own object storage
- Transmission is encrypted with HTTPS/TLS
- Regular backups are taken for disaster recovery
- You remain responsible for keeping your own copies through data export (Premium)
Data export and deletion
- Premium users can export their data as an Excel workbook at any time
- Free users can view and edit all their data but cannot export it
- You may delete your account at any time; data is recoverable for 30 days and then permanently deleted
Analytics
- We do not embed third-party analytics or advertising SDKs
- We do not track your behaviour for advertising
- We keep a limited record of actions that change data on your account for support and abuse prevention, deleted after 90 days, as described in the Privacy Policy
8. Account Registration, Security and Termination
Account creation
- Provide accurate and complete information when registering
- A valid email address is required for verification
- You are responsible for keeping your credentials confidential and for all activity under your account
Account security
- Single-device login only — signing in on a new device signs the previous one out
- Optional biometric authentication (Face ID / Touch ID)
- Report unauthorised access immediately
Account restrictions
- Each account is for one individual
- Account sharing, transfer and merging are not supported
- Data cannot be migrated between accounts by us; use export and import if you need to move data yourself
Termination
- You may delete your account at any time in the App
- After deletion, data is retained for 30 days for recovery, then permanently deleted
- We may terminate accounts that violate these Terms
- Termination does not entitle you to a refund of an unused subscription period, except where required by law
9. Reminders, Notifications and Widgets
- Reminders are generated from records you entered. They are a convenience, not a guarantee. We do not guarantee that any reminder will be generated, delivered, or delivered on time — delivery depends on Apple's push notification service, your device, your network and your system settings
- You remain responsible for paying your own bills, statements, instalments and debts on time. We are not liable for a late fee, interest charge or credit consequence arising from a reminder that was missed, late, wrong or never sent
- Notification content may include limited financial details such as an amount or account name so it is useful on the lock screen. You can turn off individual reminder categories in the App or restrict lock screen previews in iOS Settings
- Widget content is calculated inside the App and stored on your device; it refreshes on iOS's schedule and may briefly lag behind the App
- We may send you service announcements. Product announcements can be unsubscribed from; messages you need to operate or secure your account cannot
10. Calculated Figures, Forecasts and Estimates
The App displays many figures it calculates from what you entered. All of them are estimates for your reference only:
- Expected earnings, tax, superannuation and GST figures are not tax advice and are not a substitute for your payslip, your accountant, or your tax authority
- Net worth, budget balances and remaining allowances depend entirely on the accuracy and completeness of what you recorded
- Cash flow forecasts, safe-to-spend amounts, savings goal completion dates and debt payoff estimates are projections based on your current records; they are not predictions of your actual future position and are not promises
- Instalment schedules, interest amounts and repayment plans generated by the App are our arithmetic on the numbers you entered. They are not statements from your card issuer, BNPL provider or lender, and may differ from the official amounts. The provider's own figures always prevail
- Statement and repayment countdowns are based on the dates you configured on the account
- Exchange rates come from free third-party sources and are for reference only, not for currency trading. Fiat rates refresh twice a day; cryptocurrency rates refresh every hour
Always verify against the official statement or a qualified professional before acting on any of these figures.
Cryptocurrency
Flowlog lets you record holdings in cryptocurrency the same way it records any other currency. Cryptocurrency is a unit of account here — nothing more.
- We do not custody, hold, transfer, buy, sell or exchange any cryptocurrency, and we never touch your keys, wallets or exchange accounts
- We do not read any blockchain. Every figure comes from what you typed in
- Cryptocurrency prices come from CoinGecko's public API and refresh hourly. They are indicative reference prices, not a quote, an executable rate, or the price you would actually get
- When a rate is unavailable, that holding is simply left out of your net worth rather than counted at a made-up value
- Nothing in this app is investment advice or a recommendation to buy or sell any asset
- On the free plan a cryptocurrency account can hold up to 2 currencies; membership removes the cap
11. Data Import, Export and Reconciliation
Import
- You may import records exported from other bookkeeping apps, from any spreadsheet using our template, or from your own Flowlog export
- You are responsible for having the right to the data you upload and for the accuracy of the mapping you choose
- We do not verify that imported records are correct, complete or free of duplicates beyond the duplicate detection offered in the preview step
- Importing creates records in your account; it does not change or delete existing records unless you choose to
- We are not liable for problems caused by importing incorrect data. Review the preview before confirming
Export
- Export produces a single Excel workbook, intended to be readable by you and by other software
- Once exported, looking after those files is your responsibility
Reconciliation
- Reconciliation compares your Flowlog balance against a figure you type in from your financial institution. We do not read your balance from anywhere
- Any adjustment entry generated at the end of a reconciliation is created because you chose to create it, and becomes part of your records
- Reconciling in Flowlog does not verify, audit or validate your actual account with your institution
12. Disclaimers and Limitations of Liability
Service "as is"
The Service is provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.
No financial, tax or legal advice

Nothing in these Terms excludes, restricts or modifies any guarantee, right or remedy that cannot be excluded under the Australian Consumer Law or any other applicable law. Where such a right applies and liability can be limited, our liability is limited to re-supplying the Service or paying the cost of having it re-supplied.
Data loss
- We take reasonable measures to prevent data loss and are responsible for loss caused by our system failures or gross negligence

- Scheduled maintenance will be announced in advance where possible
- For an extended interruption (over 24 hours) we will work with Apple on potential remedies
Feature deprecation
- Deprecated features will have a migration period where possible
- Data export will be available before a feature is removed
- Alternatives will be suggested where feasible
14. Violations and Enforcement
Consequences
Depending on severity:
- A warning for a first minor violation
- Temporary suspension for repeated violations
- Termination for serious violations, including cracking or hacking attempts, system intrusion or attack, fraud, multi-account abuse, and attempts to bypass subscription requirements
- Legal action where a violation causes disruption or loss
- Immediate suspension for anything that threatens the security of the Service
Enforcement
We may investigate suspected violations, monitor account activity for security purposes, remove violating content, suspend or terminate accounts without notice for serious violations, cooperate with law enforcement, and pursue legal remedies.
